The template

One row per shift. Three example rows show how it fills in — the numbers below are realistic dinner and bar shifts, not placeholders.

Why these nine columns:

• Cash tips and card tips stay separate. They reach your pocket differently and you will want the split later.
• Sales lets you sanity-check your tip percentage and compute any sales-based tip-out. If you are not sure your tip-out is normal, the tip-out calculator covers the usual percentages.
• Take-home and $/hr are formulas, not things you type. They are below.
• Job matters even with one job — the day you pick up a second gig, the column is already there.

How to use it

One row per shift, filled in the night you work it. That is the whole system — about 30 seconds once the sheet is set up.

• Log the same night. A number written down at 1 a.m. is a fact. A number reconstructed on Sunday is a guess. Delete the three example rows once you have real shifts in.
• Count tip-out before you log. Take-home only means something after what you passed to busser, bar, and host is out of it.
• Enter hours as decimals. 7 hours 30 minutes is 7.5, not 7:30 — the $/hr formula needs a plain number.
• The daily habit is also your tax record. Under U.S. federal rules the IRS expects a daily record of your tips — Publication 531 describes it, with Form 4070A as the model layout, and this sheet has the same fields. Since the U.S. federal tip deduction (2025–2028) only counts tips you properly reported, that record now has money attached.

The formulas to add

With the header in row 1, your first shift is row 2. Columns land as A through I, so Hours is C, Cash tips is D, Card tips is E, Tip-out is G, Take-home is H. The formulas are identical in Google Sheets and Excel.

• Take-home, in cell H2: =D2+E2-G2
• $/hr, in cell I2: =IF(C2="","",H2/C2) — the IF keeps blank rows from showing errors. The plain version is =H2/C2.
• Fill down: select H2 and I2, then drag the fill handle to row 34. Every new shift computes itself.
• Totals, below the table: =SUM(H2:H34) for total take-home, and =SUM(H2:H34)/SUM(C2:C34) for your real hourly across every logged shift. That last cell is the reason the sheet exists.

If you want wages in the picture, add a Wages column and include it in the Take-home formula. Tips-only is fine to start — most people add wages once they start comparing jobs.

When a spreadsheet stops working

Honest answer: this template is genuinely enough for one job with a simple tip-out. Plenty of people run a sheet like this for years. It starts to crack in specific, predictable places:

• Tip-out rules. The moment your tip-out is "2% of sales to the bar, 1.5% to bussers, a point to the host," column G becomes a formula you have to build, remember, and update every time the house changes the split.
• Multiple jobs. Two jobs means filtering or separate tabs, and the totals stop meaning anything without more formulas. The sheet grows faster than your patience for maintaining it.
• Backup. The sheet lives in one account or on one phone. Years of shift history deserve better than that.
• 1 a.m. Opening a spreadsheet on a phone after a close and typing nine cells into the right row is exactly the kind of small chore that quietly stops happening in week three.

What columns should a tip tracker spreadsheet have?

Do I need to track cash tips for taxes?

Under U.S. federal rules, yes. Cash tips are taxable income, the same as card tips, and IRS Publication 531 expects a daily record of them. If your tips reach $20 or more in a month at one job, you report them to your employer by the 10th of the following month, per IRS Tax Topic 761. This is general information, not tax advice.
